QuickBooks Online offers several tiers, and picking the wrong one means either overpaying for features you don't use or hitting frustrating limitations down the road. Here's how to think through the choice.
Simple Start is built for solo operators with straightforward needs — basic income and expense tracking, simple invoicing, and one user. If you're a sole proprietor with no employees and minimal complexity, this tier likely covers you.
Essentials adds multiple users, bill management, and time tracking. This is the right fit once you have a small team helping with finances, or you're managing bills from multiple vendors regularly.
Plus adds inventory tracking, project profitability tracking, and budgeting tools. If you sell physical products, manage multiple ongoing client projects, or want to build out formal budgets, this is usually the sweet spot.
Advanced is built for more complex businesses — it adds deeper reporting, batch invoicing, dedicated customer support, and higher user limits. Most small businesses don't need this tier until they're managing significant volume or complexity.
A simple decision framework:
No employees, simple operation → Simple Start
Small team, regular bill-paying → Essentials
Inventory or multiple active projects → Plus
High volume or complex reporting needs → Advanced
One important note: it's much easier to upgrade a QuickBooks plan as you grow than to pick the most expensive tier "just in case." Start with what fits your business today, and reassess every year or two as things change.
