How to Spot Cash Flow Problems Before They Become a Crisis

Cash flow problems rarely show up out of nowhere — there are almost always early warning signs, if you know where to look. Here's what to watch for.


1. Your bank balance and your profitability don't match A business can be profitable on paper and still run out of cash, especially if a lot of revenue is sitting in unpaid invoices. If your P&L shows a profit but your bank balance feels tight, that gap is worth investigating immediately.


2. Your accounts receivable is growing faster than your revenue If clients are taking longer to pay, or unpaid invoices are piling up, that's cash that exists on paper but isn't actually available to you. A rising receivables balance relative to sales is one of the earliest, most reliable warning signs.


3. You're relying on credit to cover regular operating expenses Using a business credit card occasionally for a one-time purchase is normal. Relying on it to cover payroll or rent because cash is tight is a sign the underlying cash flow timing has a real problem.


4. Your expenses are growing faster than your revenue This sounds obvious, but it's easy to miss month-to-month if you're not reviewing reports regularly. A steady creep in costs — subscriptions, staffing, supplies — can quietly erode margins long before it shows up as an obvious crisis.


5. You're surprised by your own numbers If your monthly financial reports regularly surprise you — in either direction — that's a sign you don't have a clear enough real-time picture of your cash position. Surprise is usually a symptom of infrequent review, not bad luck.


The fix for all of these is the same: a consistent monthly review of your cash flow, not just your profit and loss. Profitability tells you if the business model works. Cash flow tells you if you'll still be open in three months. Both matter, but cash flow is the one that creates emergencies when ignored.
