How to Track Business Expenses Without Losing Receipts

Lost receipts are one of the most common (and most avoidable) sources of stress come tax time. Here's a simple system that takes the chase out of expense tracking.


1. Go digital immediately The moment you receive a receipt, snap a photo. Apps like QuickBooks' built-in receipt capture, or simple tools like a phone's camera app paired with a dedicated folder, eliminate the "where did I put that" problem entirely. Paper receipts fade and get lost — digital ones don't.


2. Use a dedicated business card for every business expense Mixing personal and business spending on one card guarantees confusion later. A dedicated business card (even a simple debit card tied to a business checking account) means every transaction on that statement is already presumptively a business expense, cutting your manual sorting work dramatically.


3. Categorize weekly, not annually Five minutes a week reviewing and categorizing recent transactions is dramatically easier than trying to remember what a transaction from eight months ago was for. Small, regular habits beat big annual catch-up sessions every time.


4. Set up bank feed rules for recurring expenses Most accounting software lets you set automatic categorization rules for recurring vendors (your software subscriptions, your regular suppliers). Set these up once, and a large chunk of your monthly categorization happens automatically.


5. Keep a simple system for cash expenses Cash is the easiest category to lose track of. A small notebook or a simple notes app entry — date, amount, purpose — logged the same day prevents these from disappearing into "I don't remember."


6. Let your bookkeeper catch what slips through Even with a great system, things get missed. Part of what a good bookkeeper does each month is flag anything that looks incomplete or unclear — so small gaps get caught early instead of becoming a December scramble.
